Almost every organisation we meet is already buying more Microsoft than it uses. An E3 tenant with Teams switched on and SharePoint untouched. Business Premium with Intune never configured. Power Platform sitting inside a licence nobody realised covered it. Our first job is to find the capability you have already bought and put it to work — before anyone raises a purchase order.

Licence optimisation
Most estates are paying for a tier they do not use
A licence review is the cheapest engagement we sell and it is often the one that funds everything after it. Here is exactly how we run it — no black box, no percentage-of-savings contract.
The work happens inside your tenant, alongside your administrator, using reporting you already have access to. We do not need a data extract, a new agent, or a third-party portal.
You keep the model at the end: a workbook that shows every assignment, the recommendation against it, and the reasoning — so your team can re-run the exercise each quarter without us.
Reconcile every assignment against real sign-ins
We export the full licence assignment list from your tenant and match it against ninety days of Entra ID sign-in activity. Disabled accounts still holding a seat, leavers never deprovisioned, shared mailboxes consuming full suites, and add-ons stacked on top of a plan that already includes them — this first pass is usually the single largest line of recovery, and it costs nothing but an afternoon of admin access.
Right-size the tier per person, not per company
E5 earns its premium for the people who actually use what it adds: Entra ID P2 risk policies, Defender for Endpoint P2, Purview information protection and eDiscovery, Power BI Pro, and Teams Phone. For everyone else, E3 with one targeted add-on is materially cheaper than a company-wide uplift. We build the split by role, then price both models side by side — including the third-party tools an E5 move would let you cancel.
Plan the Business Premium ceiling before you hit it
Business Premium is the best value in the Microsoft catalogue and it stops at 300 seats. If you are hiring toward that number, the move to E3 or E5 belongs in a budget cycle at around 250 users — not discovered at 301, mid-renewal, with an offer that has to be signed the same week.
Cancel what the suite already replaced
Standalone conferencing, file sync, device management, backup, e-signature routing, and BI seats routinely sit alongside licences that already cover the same workflow. We only recommend the swap where the Microsoft equivalent genuinely does the job — and we tell you plainly when it does not, because a forced migration that users reject costs more than the licence it saved.
Align renewal dates and true up quarterly
Staggered anniversary dates make every negotiation a partial one. We consolidate terms onto a single renewal, keep annual commitments for stable headcount and monthly flexibility for contractors and seasonal staff, and leave you a reusable quarterly true-up so the savings do not quietly reappear as drift six months later.
